How Scitong handles personal data
This policy explains what personal data Scitong handles, why it is needed, which service providers are involved, and how to contact VOGTOV about privacy requests.
Who is responsible
VOGTOV, based in the Netherlands, operates Scitong and is responsible for the personal data described in this notice. Privacy questions can be sent to pim@vogtov.com.
Data Scitong handles
- Account and sign-in details if you create an account.
- Anonymous session identifiers used to connect a browser to its own projects.
- Thesis project content such as project titles, wizard answers, research questions, draft sections, blueprint fields, survey plans, analysis plans, results, review states, and submission checks.
- Uploaded material such as documents or Qualtrics CSV files when you choose to upload them.
- Usage, security, and technical records such as timestamps, request logs, workflow events, and usage limits.
- Advertising and consent information if advertising features are activated later.
Why the data is used
Scitong uses data to provide the thesis workflow you request, save and restore project progress, create editable draft material, run checks, manage accounts, protect the service, diagnose errors, enforce usage limits, meet legal obligations, and respond to valid requests.
These uses are based on providing the requested service, VOGTOV's legitimate interests in operating and securing Scitong, legal obligations, or consent where a separate consent choice is required.
Service providers and sharing
VOGTOV uses service providers for hosting, authentication, database storage, security, operational logging, text processing requested inside the product, and advertising infrastructure if advertising is activated. These providers process data for the purposes needed to operate Scitong.
Personal data may also be disclosed when required by law, to protect users or the service, or during a business reorganisation with appropriate safeguards. VOGTOV does not sell personal data.
Retention, deletion, and research data
Project data is kept while it is needed to provide Scitong, maintain security records, or meet legal obligations. You can request deletion by email. Some information may remain for a limited period in backups, security logs, or legally required records.
Thesis datasets can contain participant information. Remove names, email addresses, participant IDs, free-text identifiers, and other unnecessary personal data before uploading a CSV. Do not upload confidential or special-category data unless you have a lawful basis, the required ethics approval, and appropriate safeguards.
Your rights and contact
Depending on the circumstances, you may request access, correction, deletion, restriction, portability, objection, or withdrawal of consent. VOGTOV may need to verify your identity before completing a request.
You can complain to the Dutch supervisory authority, the Autoriteit Persoonsgegevens, or to the authority in the EU country where you live or work. Contact: pim@vogtov.com.
